Primary Responsibilities :
Duties and Responsibilities:
• Act as the primary on-ground representative of the Business Support Sector (Corporate
Admin, HR, Finance, MIS, and IT) in Bengaluru and ensure seamless coordination with the
Abu Dhabi corporate office.
• Coordinate and oversee all day-to-day office activities and ensure adherence to relevant
company procedures and policies.
• Liaise with banks and Chartered Accountants (CA) on behalf of the Finance department
for matters including documentation, statutory filings, and financial coordination.
• Coordinate with employees on behalf of the HR and MIS departments, including
communications, data collection, onboarding support, and HR-related queries.
• Coordinate with IT vendors and service providers on behalf of the IT department for
procurement, maintenance, and technical support requirements.
• Manage office facilities, including overseeing maintenance of office premises, equipment,
housekeeping, and vendor relationships.
• Act as a first point of contact for external vendors, service providers, and guests; welcome
visitors and direct them to the relevant personnel.
• Carry out front office duties such as answering phone calls, responding to emails, and
preparing documents including correspondence, memos, and presentations.
• Monitor and maintain office supplies and ensure availability in accordance with office
needs.
• Make travel arrangements for visiting senior managers and staff as required.
• Maintain and update business registrations, licenses, and compliance records in
coordination with the corporate office.
• Supervise the cleaning crew and maintain cleanliness and orderliness of the office space.
• Perform other duties as assigned by the Business Support Director or Studio Manager.
Experience Requirements:
Required Candidate Profile:
• Bachelor’s degree in relevant discipline preferably in IT.
• Minimum 5 years of working experience in the capacity of Office Administrator, Office
Coordinator, or a similar role.
• Prior experience working in a shared services or multi-departmental coordination
environment is an advantage.
• Proficient in MS Office applications.
• Strong communication skills in English, both written and verbal.
• Hands-on experience with office management and ERP systems.
• Knowledge and experience in business registration, statutory compliance, and
coordination with government authorities in India.
• Demonstrated ability to liaise effectively with banks, auditors, and external service
providers.
• Strong organisational and multitasking skills with the ability to manage priorities across
multiple departments.
• Comfortable in handling confidential information with discretion.
