Primary Responsibilities :
1. Procurement Planning & Execution
Understand project Bill of Materials (BOM) and production requirements.
Float RFQs (Request for Quotations) to vendors for mechanical and electrical components such as gearboxes, motors, bearings, seals, valves, couplings, fasteners, automation products, and raw materials including MS, SS, aluminum, and other engineering materials.
Evaluate vendor quotations from both technical and commercial perspectives.
Compare quotations and prepare comparative statements for management approval.
Generate Purchase Orders (POs) using ERP systems or manual procurement processes.
Follow up with vendors for order confirmations, production status, dispatch, and timely delivery.
Ensure procurement activities comply with company policies and project schedules.
2. Vendor Management
Maintain strong relationships with existing suppliers.
Coordinate with vendors to ensure timely delivery and required quality standards.
Identify, evaluate, and onboard new suppliers for project and regular procurement needs.
Participate in supplier evaluations and basic vendor audits.
Assist in commercial negotiations related to pricing, payment terms, delivery schedules, and lead times.
Maintain an updated supplier database including pricing history, delivery performance, and quality records.
3. Cost Control & Inventory Coordination
Monitor price trends of critical engineering materials and components.
Support cost optimization through alternate sourcing and vendor development.
Coordinate procurement activities with inventory levels to avoid shortages and excess stock.
Work closely with stores and inventory teams to maintain minimum stock levels.
Prepare procurement cost reports and purchasing analysis.
4. Technical Documentation & Compliance
Read and understand engineering drawings, specifications, and BOMs for sourcing custom-built components.
Maintain complete procurement documentation including RFQs, quotations, purchase orders, invoices, inspection reports, and vendor communications.
Ensure documentation complies with company quality standards and audit requirements.
Assist during internal audits and project documentation handovers.
5. Cross-Functional Coordination
Coordinate with Design, Production, Planning, Stores, Quality Control, and Project teams regarding material specifications and procurement priorities.
Resolve material quality issues in coordination with Quality Assurance and suppliers.
Track procurement progress and provide regular material status updates to project stakeholders.
Support urgent procurement requirements for production and project execution.
Experience Requirements:
Strong knowledge of mechanical components including gearboxes, motors, bearings, pumps, seals, couplings, valves, fabrication items, and engineering raw materials.
Understanding of procurement procedures, sourcing strategies, and commercial terms.
Ability to read engineering drawings, technical specifications, and BOMs.
Knowledge of vendor evaluation and supplier development.
Experience in price negotiation and cost optimization.
Familiarity with ERP software such as SAP, Oracle, Microsoft Dynamics, Tally ERP, or similar procurement systems.
Strong proficiency in Microsoft Excel (VLOOKUP/XLOOKUP, Pivot Tables, formulas, reporting).

Qualifications
Diploma or Bachelor's Degree (B.E./B.Tech.) in Mechanical, Electrical, or Instrumentation Engineering.
Experience
2–4 years of experience in procurement or purchase within engineering, fabrication, industrial automation, machinery manufacturing, process equipment, heavy engineering, or related industries.
Experience in sourcing mechanical, electrical, and fabrication components is preferred.
