Primary Responsibilities :
1. Studio Operations
• Oversee the day-to-day functioning of the TBS Studio.
• Ensure the studio is organised, presentable and operational at all times.
• Coordinate with the studio team and ensure daily tasks are completed.
• Monitor supplies, samples, material requirements and general studio requirements.
• Identify operational gaps and proactively resolve them.
• Ensure smooth coordination between the studio, production unit and project sites.
2. Production & Order Tracking
• Track all ongoing production orders from confirmation to completion.
• Coordinate with the production team regarding timelines, specifications and delivery schedules.
• Maintain an updated tracker for all active orders and projects.
• Follow up regularly to ensure production deadlines are met.
• Flag delays, quality issues or bottlenecks immediately.
• Coordinate dispatch and delivery of completed products.
3. Site & Project Coordination
• Be present at project sites whenever required to ensure smooth execution.
• Coordinate with designers, contractors, installers, vendors and production teams.
• Assist in taking site measurements and collecting required dimensions.
• Ensure products and materials reaching site match approved specifications.
• Track installation, delivery and pending site requirements.
4. Vendor Management & Sourcing
• Identify and source new vendors, manufacturers, suppliers and service providers.
• Develop and maintain a reliable vendor database.
• Obtain quotations and compare pricing, quality and timelines.
• Coordinate with vendors for samples, production and deliveries.
• Negotiate where required and ensure agreed timelines are followed.
5. Client & Order Coordination
• Assist in coordinating with clients from order confirmation through delivery.
• Collect required measurements, specifications and approvals.
• Follow up for advances and pending payments.
• Maintain accurate records of orders, payments, deliveries and pending requirements.
• Escalate important client issues or delays to management promptly.
6. Payments, Invoicing & Documentation
• Maintain an accurate tracker of client payments, advances and outstanding balances.
• Follow up for pending payments.
• Generate PIs (Proforma Invoices), invoices and other commercial documentation.
• Coordinate with accounts for payment reconciliation.
• Maintain proper documentation for purchase orders, vendor bills and expenses.
7. Inventory & Stock Management
• Maintain accurate records of studio, production and project-related stock.
• Monitor incoming and outgoing materials/products.
• Conduct regular stock checks.
• Identify shortages, excess inventory or discrepancies.
• Coordinate replenishment wherever required.
8. MIS & Reporting
• Maintain daily/weekly operational trackers.
• Prepare reports covering orders, production, deliveries, site progress, payments, vendors and inventory.
• Ensure management has a clear view of ongoing operations.
• Use Excel/Google Sheets efficiently to maintain accurate and up-to-date data.
Experience Requirements:

• Strong in Excel/Google Sheets and data management
• Comfortable with invoicing, PI generation and payment tracking

• Comfortable working in a premium/luxury brand environment
Experience Preferred
4–8 years of experience in operations, studio management, project coordination, interiors, furniture, retail,
hospitality or a similar environment.
Experience in a premium/luxury interiors, furniture or design business will be an advantage.
