Primary Responsibilities :
1. Administrative & Executive Support:
o Manage the Director’s schedule, including meetings, appointments, and travel
arrangements.
o Prepare and review reports, presentations, and correspondence for the Director.
o Act as a point of contact between Director and internal/external stakeholders.
2. Strategic Planning & Coordination:
o Assist in business strategy development and execution as per the Director’s
directions.
o Coordinate with different departments to ensure smooth workflow and timely
decision-making.
o Track and follow up on key action points from meetings and ensure timely
completion.
3. Confidentiality & Documentation Management:
o Handle sensitive business information with utmost confidentiality.
o Maintain proper documentation and records for reference and compliance.
o Ensure efficient filing and retrieval of documents related to the Director’s
office.
4. Communication & Relationship Management:
o Serve as the communication bridge between the Director and stakeholders.
o Draft and review official communications, emails, and announcements.
o Build and maintain professional relationships with clients, vendors, and
partners.
5. Project Management & Special Assignments:
o Assist in planning and execution of special projects as assigned by the Director.
o Conduct market research, data analysis, and prepare reports to support business
decisions.
o Work on process improvements and efficiency enhancement initiatives.
6. Compliance & Safety Adherence:
o Assist in the implementation of company safety compliance and standards
o Ensure all meetings and decisions are aligned with legal and regulatory
compliance.
o To assessed Environment aspect impact register.
o To Assessed Hazard Identification and risk assessment register.
o To reporting unsafe condition / unsafe act.
o To implement Environment, Health and Safety effectiveness.
Experience Requirements:
Authority:
Manage the Director’s calendar and prioritize appointments.
Represent the Director in meetings when required.
Take necessary actions for ensuring workflow efficiency and project completion.
Education: Bachelor’s degree or equivalent experience preferred.
Required
Skill Set:
Proven experience as an Executive Assistant or in a similar
administrative role.
Exceptional written and verbal communication skills.
Proficiency in Microsoft Teams, Excel, and MS Office tools.
Strong organizational and time management skills.
Ability to handle sensitive information with discretion and maintain
confidentiality.
Detail-oriented with strong problem-solving abilities
