Primary Responsibilities :
• Manage the Director’s calendar, appointments, meetings, calls, and daily schedule
• Prioritise and coordinate the Director’s professional and personal commitments
• Act as the primary point of contact between the Director and clients, business
associates, vendors, advisors, and other stakeholders
• Screen, prioritise, and coordinate incoming calls, messages, emails, and requests
• Prepare meeting agendas, briefing notes, presentations, documents, and
correspondence as required
• Maintain accurate records of meetings, discussions, commitments, and follow-up
actions
• Ensure that important tasks and commitments are followed up on and completed
within the required timelines
• Coordinate with internal teams and external parties on behalf of the Director
• Organise domestic and international travel, including flights, hotels, transportation,
itineraries, appointments, and related arrangements
• Coordinate private meetings, client appointments, dinners, events, exhibitions,
viewings, and other engagements
• Assist the Director in managing confidential business information, documents,
financial records, contracts, and correspondence
• Maintain an organised filing and documentation system, both physical and digital
• Assist with research and preparation of information required for business decisions,
meetings, acquisitions, and client interactions
• Coordinate with accountants, lawyers, consultants, banks, vendors, and other
professional advisors when required
• Assist in monitoring invoices, payments, expenses, reimbursements, and other
administrative matters relating to the Director
• Handle sensitive and confidential matters with absolute discretion
• Support the Director with personal administrative requirements and appointments
when required
• Anticipate the Director’s requirements and proactively address matters before they
become urgent
• Ensure the Director is adequately briefed and prepared for meetings, travel,
appointments, and important engagements
• Take on additional responsibilities and special projects as required by the Director
